Setting Up Manual & Automatic Refunds
A step-by-step guide to setting up refunds, whether you issue them yourself or through system integrations.
1. How to Set Up Auto-Refunds
- Ensure you have an integration or app connected.
- Follow these guides to set up your integration.
- In the sidebar, click Alerts.
- From the dropdown, select Configure.
- In the Configure menu, open the Auto-refund tab.
- Toggle on Ethoca and CDRN.
- To set a refund limit, click
Edit
beside Auto-Refund Threshold. - Enter your threshold amount and click
Confirm
. - If you use Stripe, we recommend enabling Auto-Cancel.
- This cancels subscriptions when a customer disputes a payment, helping prevent future chargebacks.
After setup, you’ll see a notification: “Auto-refund was turned on successfully.”
How do Auto-Refund Thresholds Work?
- Default threshold: $0.00. All alerts automatically refund.
- Example: If you change the threshold to $100, transactions above $100 will not automatically refund.
- If lower amounts refund unexpectedly, check the transaction currency. Currency conversions may trigger refunds under your threshold.
- Threshold changes take effect immediately.
How Does RDR Work?
- RDR alerts always automatically refund by default.
- You cannot disable RDR automatic refunds. The toggle appears grayed out and is purely cosmetic.

2. How to Set Up Manual Refunds
Once Manual Refunds are active, check your dashboard daily or monitor your email alerts. If you miss an alert, the transaction may escalate into a chargeback.

2A: If You Already Have an Account
- In the sidebar, click Alerts.
- From the dropdown, select Configure.
- In the Configure menu, open the Enrollment tab.
- Click
+ Enroll More Descriptors
. - Add your descriptor(s).
- Add your ARNs if setting up RDR.
- Monitor your email inbox for updates related to your descriptor(s).
Notes:
- For Shopify, add “SP” before your billing descriptor(s).
- If setting up RDR and you don’t have ARNs, see the linked guide for alternative ways to connect.
2B: You Don't Have an Account
- During Step 2 of onboarding, click
Select
under the card Manual Refunds, then clickContinue
. - In Step 3, turn on Ethoca, RDR, and / or CDRN.
- In Step 4, add your descriptor(s) and ARNs if using RDR.
- Decide whether to check the box
