Setting Up Manual & Automatic Refunds

A step-by-step guide to setting up refunds, whether you issue them yourself or through system integrations


1. How to Set Up Auto-Refunds

  1. Ensure you have an integration or app connected.

  2. In the sidebar, click Alerts.

  3. From the dropdown, select Configure.

  4. In the Configure menu, open the Auto-Refund tab.

  5. Toggle on Ethoca and CDRN.

  6. To set a refund limit, click Edit beside Auto-Refund Threshold.

  7. Enter your threshold amount and click Confirm.

  8. If you use Stripe, we recommend enabling Auto-Cancel.

    • This automatically cancels subscriptions when a customer disputes a payment, helping prevent future chargebacks.

šŸ’” After setup, you’ll see a notification: ā€œAuto-refund was turned on successfully.ā€


How Auto-Refund Thresholds Work

  • Default threshold: $0.00 — all alerts automatically refund.

  • Example: If you set the threshold to $100, transactions above $100 will not automatically refund.

  • If smaller transactions refund unexpectedly, check the transaction currency. Currency conversions can trigger refunds below your threshold.

  • Threshold changes take effect immediately.


How RDR Works

  • RDR alerts always automatically refund by default.

  • You cannot disable RDR automatic refunds — the toggle is visual only.

2. How to Set Up Manual Refunds

Once manual refunds are active, check your dashboard daily or monitor email alerts.
If you miss an alert, the transaction may escalate into a chargeback.

2A: If You Already Have an Account

  1. In the sidebar, click Alerts.

  2. From the dropdown, select Configure.

  3. In the Configure menu, open the Enrollment tab.

  4. Click + Enroll More Descriptors.

  5. Add your descriptors.

  6. Add your ARNs if setting up RDR.

  7. Monitor your inbox for updates related to your descriptors.

Notes:


2B: If You Don’t Have an Account

  1. During Step 2 of onboarding, click Select under the Manual Refunds card, then click Continue.

  2. In Step 3, turn on Ethoca, RDR, and/or CDRN.

  3. In Step 4, add your descriptors and ARNs (if using RDR).

  4. Optionally check the box:
    ā€‹ā€œI can’t find the billing descriptor and need Chargeback’s assistance.ā€
